How to Edit a Journal Entry

Sometimes you need to fix a mistake or update information in an existing journal entry. Every field in the Journal Table can be edited by selecting it and making your updates. However, to modify the actual entry lines (e.g., accounts, amounts, debit/credit), follow the steps below:

Steps to Edit a Journal Entry:

  1. Open your Journal Table

    • From the Data Table section in the sidebar, click on the Journal Table to access all your recorded entries.

  2. Find the Journal you want to edit

    • Scroll through or use the Search Bar to locate the journal entry you want to update.

  3. Click the “Total Amount” or the “View” Button in the Entries Column

    • Select the Total Amount of the journal you want to edit or click the View button in the Entries column. This opens the journal details in a modal window.

  4. Edit the Journal Details
    Inside the modal, you can:

    • Update the account

    • Change the amount

    • Switch the debit or credit side

    • Add or remove entry lines using the ➕ or ➖ icon from the action column

      • At the top of the modal, you’ll see a running total of both sides:
        e.g., DR: ₦6,000.00 | CR: ₦6,000.00. A tag will indicate whether the entry is Balanced or Unbalanced.

  5. Note: If the journal is unbalanced, the Save button will be disabled until you correct the difference.

    • A helpful reminder appears in the modal: Debit and credit amounts MUST be equal. Journal items won’t update until debit and credit amounts are EQUAL.

  1. Save Your Changes

    • Once your journal is balanced, click the Save button.

    • The changes will update immediately in your Journal Table.

Note:
Editing a posted journal entry may affect your financial reports. Make sure to review the impact on affected accounts and balances.
