How to View the General Ledger for an Account

Quickly access the General Ledger for any account to review all related journal entries and track transactions.

The General Ledger provides a detailed history of all financial transactions affecting a specific account. Accessing this ledger lets you monitor the flow of debits and credits, verify balances, and gain insight into how your accounts change over time.

Steps to view the General Ledger for an Account:

  1. Locate the Account in Your Chart of Accounts Table
    Find the account you want to review.

  2. Click the View Button in the Ledgers Column
    This opens a modal window displaying the General Ledger specific to that account.

  3. Explore the General Ledger Modal
    The ledger displays all journal entries linked to the selected account, consolidating related transactions in one easy-to-read table.

  4. Use the Date Filter
    Narrow down entries by selecting preset date ranges such as:

    • Today

    • This Month

    • This Year

    • Or customize your own date range

    This helps focus on specific periods for detailed analysis or audits.

Columns in the General Ledger Table

The general ledger table includes the following columns to help you organize and track your records:

Date

The date the journal entry was recorded

Title

The name or title of the journal entry or transaction

Narration

Additional description or notes explaining the transaction

Type

The type of journal entry (e.g., Payment, Sale, Purchase)

Contact

The associated party involved (customer, vendor, etc.)

Opening Balance

The account balance at the start of the selected period

Credit

The amount credited to the account in that entry

Debit

The amount debited from the account in that entry

Closing Balance

The running balance of the account after the transaction
