How to Import Multiple Expense Records

Whether you're switching from another system or simply logging large volumes of expense transactions, Adam, your AI accountant, makes bulk uploads simple. You can upload files in image, PDF, Excel, or CSV formats. Adam will read the data and populate your Expenses Table automatically.

Step-by-Step Guide

  1. Prepare your File

    • Before uploading, ensure your file includes all necessary details such as the date of expense, the expense description, amount, taxes, or discount if applicable, etc.

    • Your file can be in an image (jpeg/png), PDF, Excel (.xlsx/.xls), or CSV format. Make sure it’s organized, either in tables or bullet/list formats that are easy to interpret.

  2. Open the Prompt Area

    • Navigate to the Expenses Table.

    • Click the “Add Data” button at the top right to open the prompt input modal.

  3. Attach your File

    • In the prompt modal, click the attach icon next to the message box.

    • Select the file from your device that contains the expense records.

  4. Write a Short Instruction

    • In the prompt box, type a simple instruction to help Adam understand your request.

    • Example:

      • Upload these expense records”.

    • This ensures Adam knows what to do with the file.

  5. Observe Upload Limits
    For optimal performance:

    • Send up to 20,000 characters per file (approximately 150 account entries).

    • For PDFs, limit to 10 pages per upload.

    • If your file is too large, split it into smaller chunks and upload them one after the other.

  6. Let Adam Process the Upload

    • Click Send to start.

      • Important: Do not refresh or close the page while the file is being processed. It may take a few minutes, depending on the file size.

  7. Review the Results

    • Once the upload is complete, your expense records will appear in the Expenses Table.

    • Review the data for accuracy. You can edit or delete any line manually if needed.

  8. Prepayment Status

    • The Prepaid field will display Yes or No depending on whether the expense is prepaid. This status is automatically set based on the uploaded file during bulk processing.
