If you have a large Chart of Accounts or want to migrate your account records from another system, Adam, your AI accountant, can help you upload multiple accounts in one go using a file. Whether it’s an image, PDF, Excel, or CSV, Adam will analyze your file and populate the Chart of Accounts Table accordingly.
Step-by-Step Guide
Prepare your File
Before uploading, make sure your file includes all necessary details such as:
Account names
Account types (e.g., Asset, Liability, Expense)
Opening balances (if applicable)
Account codes (optional but recommended for structured accounting)
Your file can be in an Image, PDF, Excel (.xlsx/.xls), or CSV format. Ensure that it’s clear, well-structured, and legible. Adam reads both tabular and listed formats.
Open the Prompt Area
Navigate to the Chart of Accounts Table.
Click the “Add Data” button at the top right to open the prompt input area.
Attach your File
Inside the prompt modal, look for the attach icon, usually located near the message input box.
Click it and select the file you want to upload from your device.
Write a Short Instruction
In the prompt field, provide a simple instruction to guide Adam. For example:
“Please upload all the accounts from this file into the Chart of Accounts.”
This helps Adam understand the context and purpose of the upload.
Observe Upload Limits
For optimal performance:Send up to 20,000 characters per file (roughly 150 account entries).
For PDFs, limit to 10 pages per upload.
If your file is too large, split it into smaller chunks and upload them one after the other.
Let Adam Process the Upload
After sending, Adam will begin analyzing the file.
Important: Do not close or refresh the page while the upload is being processed. It may take up to 5 minutes, depending on the file size and complexity.
Review the Results
Once complete, your new account entries will appear in the Chart of Accounts Table. Review and confirm the accuracy of each record.
You can edit or delete any entry manually if needed.
