With Adam, you can upload your original PDF bank statements exactly as downloaded from your bank. Adam reads the statement, automatically categorizes your transactions, and if you've set custom rules using the Train Adam feature, Adam learns to apply your preferences consistently.
Once transactions are categorized, they will be pushed to QuickBooks, but only if you selected “Maintain Sync ” during setup.
⚠️ If you didn’t choose to maintain sync during setup, Adam will still categorize your bank transactions, but they won’t be sent to QuickBooks automatically.
How Categorization Works in Adam
Upload your bank statement
Inside the Bank Transactions Table, click the Add Data button (top right).
A modal will pop up. In this modal:
Select a bank from the list (connected or manually created).
Click the attach icon in the prompt area to upload your file.
Upload your PDF or CSV statement and include a brief instruction to Adam.
Once Adam finishes processing, your transactions will be auto-categorized and all entries will appear in the Bank Transactions Table, ready for review or export.
For bulk uploads, break files into chunks of up to 20,000 characters (~150 entries) or 10 pages max.
Don’t close the page while Adam is processing (may take up to 5 minutes).

2. Categorized Transactions Sync to QuickBooks
After you upload and categorize a bank statement in Adam, Adam posts these transactions to journals.
Then, they are automatically sent to QuickBooks with the original transaction dates and account mappings.
You do not need to take any additional action; Adam handles the entire sync process in the background.
Each transaction sent to QuickBooks includes a memo stating, for example:
Note: If you need to update this entry, please do so via Adam. [Reference: #503673 — Date: 2025-04-14]
You can still re-categorize it inside Adam.
Adam will then update the entry in QuickBooks during the next sync.
⚠️ Important: Do not edit or delete these entries from QuickBooks directly. If you need to make corrections, do so in Adam; the updated version will sync again.
