How to Manage Sales Invoices, Receivables, and Aging Reports

Looking to track unpaid invoices, confirm customer payments, and clearly see how much money your business is still owed?
Follow the steps below to manage your sales invoices and receivables in Adam:

Access Your Sales Invoices

Sign in to your account, navigate to the More section on the sidebar, and click Invoices.
This opens the Invoices table, where you can view all existing invoices, including total amounts, balances, and payment status.

To add new invoices, click Add Invoices and either:

  • Enter invoice details manually, or

  • Upload a document or spreadsheet containing invoice records

Once submitted, Adam processes the data and populates your invoices automatically.


Understand and Track Receivables

Receivables represent the total value of unpaid invoices.
From the Invoices table, you can easily:

  • See outstanding balances

  • Check due dates

  • Identify which customers still owe your business

This gives you clear visibility into incoming cash.


Reconcile Invoice Payments with Bank Transactions

To confirm payments, navigate to Bank Transactions under the Banking module.
Here, you can upload or view bank transactions and match them to invoices.

When matching a transaction:

  • Set the transaction to Uncategorized if you need to reset a match

  • Select Match from the Category field

  • Choose the correct invoice from the receivables list

  • Verify the amount and save

Adam automatically updates the invoice balance and payment status.


Confirm Payment Status

Return to the Invoices table to confirm whether invoices are fully paid, partially paid, or unpaid.
You can click on an invoice balance to view the linked bank transaction and confirm reconciliation.


View the Receivables Aging Report

To see how long invoices have remained unpaid, go to Reports and select Receivables Aging.
This report groups outstanding invoices into aging periods such as Current, 0–30 days, 31–60 days, and beyond, helping you prioritize follow-ups.

You can also export the report for sharing or record-keeping.
